Add a Vendor

 Required before sending funds: You must add a vendor before initiating any payment. The vendor record stores the recipient's details and tax information, ensuring compliance and accurate record-keeping.

Before you can send funds to any recipient on Every, you must first create a vendor record. This is a one-time setup per recipient. Once a vendor is added, you can pay them repeatedly without re-entering their details. If payment information changes, you will be prompted to update it at the time of the next payment.

High-Level Steps on Adding a Vendor

  1. Navigate to Finance in the left sidebar.

  2. Click on Bill Pay.

  3. Click on Vendors.

  4. Click the Add a Vendor button (purple button in the top right corner).

  5. Select whether to request a 1099 filing for this vendor (Yes or No).

  6. Optionally upload the vendor's W-9 form (PDF, up to 10MB).

  7. Indicate whether the vendor provides legal services.

  8. Under Add Vendor Details, select the Entity Type from the dropdown.

  9. Enter the Vendor NameType of TIN, and TIN Number.

  10. Enter the vendor's Email address.

  11. Enter the full mailing address: Street, Apartment/Suite (optional), City, State, and Zip Code.

  12. Review all details and click Save to add the vendor.

  13. Once saved, the vendor will appear in your vendor list and can be selected when initiating any payment.

Detailed Steps on Adding a Vendor

Step 1: 1099 Filing

Would you like to request a 1099 filing for this vendor for 2025?

Select Yes if this vendor is an independent contractor or non-employee who may require a 1099 tax form. Select No for corporations or vendors exempt from 1099 reporting.

Step 2: Upload W-9 (Optional)

You may upload the vendor's completed W-9 form. This is optional but recommended for 1099-eligible vendors. PDF files up to 10MB are supported.

Step 3: Legal Services

Does this vendor provide legal services?

Indicate whether this vendor provides legal services. This affects how payments are categorized for tax and compliance purposes.

Step 4: Vendor Details

Enter the vendor's business and tax information. All fields are required unless marked optional.

  • Entity Type — Select the vendor's legal entity type (e.g., Individual/Sole Proprietor, Partnership, C-Corporation, S-Corporation, LLC, or Other).

  • Vendor Name — The vendor's full legal business name.

  • Type of TIN — Select either Social Security Number (SSN) or Employer Identification Number (EIN) based on the vendor's entity type.

  • TIN Number — Enter the vendor's Tax Identification Number. If the vendor does not have one, click the apply here link provided in the form.

  • Email — The vendor's email address.

  • Address — Street, Apartment/Suite (optional), City, State, and Zip Code.

💡 Tip: Payment details (such as bank account or routing number) are collected at the time of first payment, not during vendor setup. You can update payment details on any subsequent payment.


ACH Transfers

ACH (Automated Clearing House) transfers are the standard way to move money electronically between U.S. bank accounts. They are processed in batches through the Federal Reserve and typically settle within 1–3 business days.

Account Required: ACH transfers are available directly through your Every Bank Account. No additional account setup is required.

How to Send an ACH Transfer

  1. Navigate to Finance in the left sidebar, click on Bill Pay, then click on Bills.

  2. Click the Send Funds button in the top right corner.

  3. On the Select Recipient screen, choose the recipient from the dropdown. Optionally upload a bank letter or PDF (up to 8MB) to auto-match recipient details. Click Next.

  4. On the Payment Method screen, select ACH (Free, 3–5 business days). Click Next.

  5. On the Amount screen, review your Checking Account Balance and enter the amount to send. Click Next.

  6. On the Recipient Details screen, enter the Routing Number, Account Number, re-enter to verify the Account Number, and select the Account Type (Checking or Savings). Click Next.

  7. On the Accounting Details screen, add a Memo for the recipient (e.g. invoice number or credit details), select how many people should approve this bill (up to 5 approvers), and choose whether to create a bill in your accounting software. If yes, select the QBO Vendor, the payment category (I am paying for), and the department (This purchase is for). Click Next to submit.

How to Receive an ACH Transfer

  1. Share your Every Bank Account routing number and account number with the sender.

  2. The sender initiates the ACH transfer from their bank.

  3. Funds typically appear in your Every Bank Account within 3–5 business days.

  4. You will receive a notification when the transfer has settled.


Wire Transfers

Wire transfers move funds directly and securely between banks in real time. Unlike ACH, wire transfers are processed individually and typically arrive the same business day. They are ideal for urgent or high-value payments.

Account Required: Wire transfers are available directly through your Every Bank Account. No Treasury account is needed for domestic wires.

How to Send a Wire Transfer

  1. Navigate to Finance in the left sidebar, click on Bill Pay, then click on Bills.

  2. Click the Send Funds button in the top right corner.

  3. On the Select Recipient screen, choose the recipient from the dropdown. Optionally upload a bank letter or PDF (up to 8MB) to auto-match recipient details. Click Next.

  4. On the Payment Method screen, select Wire (Free, 1 business day). Click Next.

  5. On the Amount screen, review your Checking Account Balance and enter the amount to send. Click Next.

  6. On the Recipient Details screen, enter the Routing Number, Account Number, re-enter to verify the Account Number, select the Account Type (Checking or Savings), and enter the recipient's full address (Street, Apt/Suite optional, City, State, Postal Code). Click Next.

How to Receive a Wire Transfer

  1. Share your Every Bank Account routing number, account number, bank name, and address with the sender. These details are available in your account settings.

  2. The sender initiates the wire from their institution.

  3. Funds typically arrive the same business day if sent before the daily cutoff time.

  4. You will receive a notification when the wire is received.


International Fund Transfers

 Note: International Fund Transfers — both sending and receiving — must be done through the Every Treasury Account. This feature is not available through the standard Every Bank Account.

International Fund Transfers allow you to send money to recipients outside the United States or receive funds from international senders. Because international transfers involve currency conversion, correspondent banking networks, and compliance requirements, Every processes all international transactions exclusively through the Treasury Account.

Account Required: You must have an Every Treasury Account enabled to send or receive international funds. If you do not yet have a Treasury Account, please reach out to support@every.io and the team will assist you with opening one.

How to Send an International Transfer

  1. Navigate to Finance in the left sidebar, click on Bill Pay, then click on Bills.

  2. Click the Send Funds button in the top right corner.

  3. On the Select Recipient screen, choose the recipient from the dropdown. Optionally upload a bank letter or PDF (up to 8MB) to auto-match recipient details. Click Next.

  4. On the Payment Method screen, select International via Pershing (Variable, 5–7 business days). Click Next.

  5. On the Amount screen, review your Checking Account Balance and enter the amount to send. Click Next.

  6. On the Recipient Details screen, enter the recipient's address (Country, Street, Street 2 optional, City, State, Zip Code). Under Bank Details, select the Recipient type, enter the Bank Name, SWIFT code, IBAN or Account Number, and Routing Number. Accept the Atomic Invest Terms and Conditions, then click Next.

  7. On the Accounting Details screen, add a Memo for the recipient, select the number of required approvers (up to 5), and choose whether to create a bill in your accounting software. If yes, select the QBO Vendor, payment category, and department. Click Next to submit.

How to Receive an International Transfer

  1. Navigate to your Every Treasury Account and go to Account Details to find your SWIFT/BIC code and IBAN.

  2. Share your SWIFT/BIC code, IBAN, and bank address with the international sender.

  3. The sender initiates the international transfer from their institution.

  4. Funds typically arrive in your Treasury Account within 5–7 business days.

  5. You will receive a notification upon receipt. Funds may need to be manually transferred to your Bank Account.


Frequently Asked Questions

Can I send an international transfer from my Every Bank Account?

No. International Fund Transfers — both sending and receiving — are only available through the Every Treasury Account. If you attempt to initiate an international transfer from your Bank Account, you will be prompted to switch to your Treasury Account.

What is the difference between ACH and Wire?

Both ACH and Wire transfers are domestic (U.S. only) and can be done through your Every Bank Account. The key differences are speed and cost: ACH transfers are usually free and settle in 3–5 business days, while wire transfers typically arrive the same day but may incur fees.

How do I enable my Treasury Account?

If you do not already have a Treasury Account, please reach out to support@every.io and the team will assist you with opening one.

Are there limits on transfer amounts?

Yes. Transfer limits vary by transfer type and account tier. Review your account's limits in Settings > Limits, or contact support for details on higher-limit transfers.

What currencies are supported for international transfers?

Every supports a wide range of major and emerging market currencies through the Treasury Account. The available currencies and exchange rates are displayed at the time of transfer.

How do I find the SWIFT code for the bank I am sending money to internationally?
